PRIVACY POLICY

Under Data Protection legislation the church Charity Trustees of Colchester Road Baptist Church are the Data Controller. We may collect information to enable the church to keep in touch with you and provide pastoral support as appropriate. Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest.

Your name and contact details will be entered into our church database (ChurchSuite) which is a secure encrypted online system that is only accessible by the Church Leaders, the paid staff team and key volunteers (on a needs only basis) . 
Once you are no longer a member of the church, by default your contact details will be hidden and archived for Safeguarding purposes, and subsequently removed after 36 months in line with data retention guidelines. You can ask to remain as one of our “church friends” and have your details retained.  

ChurchSuite allows you to choose which details you wish to share with other church members and friends. This also confirms which detail(s) you wish to include in our Church Directory which will be distributed to all Church Members and Friends (who have agreed for their own name to be placed in it). We will not give copies of the printed Church Directory to anyone who is not included in the directory. If you are happy for your details to be shared please indicate your consent using your online log in or by email. At any time, you can ask for your details to be hidden from other church members in ChurchSuite.  

To enable us to provide adequate pastoral support to you and your family, the Minister/s or pastoral care team may record information which may be regarded as sensitive. Where information is stored it will be stored securely using encryption. This information will NOT be disclosed to anyone else without your consent. You have the right to ask to see any information we hold about you (including the pastoral support information) by submitting a ‘Subject Access Request’ to the Data Protection Officer / Church Secretary. 

You also have the right to ask for information which you believe to be incorrect to be rectified. If you are concerned about the way your information is being handled please speak to our Data Protection Officer / Church Secretary. If you are still unhappy you have the right to complain to the Information Commissioners Office.
